Why I Keep Reaching for Make.com in Business Workflows

Make is brilliant, but people get themselves into trouble when they treat it like drag-and-drop magic instead of an actual system. Most broken automations are not failing because Make is bad. They fail because the workflow behind them was messy to begin with, or because someone built a clever scenario with no thought for what happens when real life gets in the way.

That is exactly why I keep reaching for it in business workflows. Most businesses do not have one neat, tidy process. They have forms in one tool, documents in another, email somewhere else, spreadsheets lurking in the background, and a lot of manual handoffs holding the whole thing together. Somewhere in the middle of all that, a human is usually stuck doing repetitive tasks that should have been sorted out a long time ago.

When a workflow actually needs logic, data handling, formatting, routing, integrations, and proper error management, Make gives me far more control than simpler automation tools. That is the real difference for me. It is not just about automation for the sake of it. It is about building business workflows that actually work in the real world, not just in a tidy little demo.

That matters because real business processes are messy. Systems do not line up neatly, data is rarely clean, and there is usually a gap somewhere between what the business thinks is happening and what is actually happening. Make is strong when you need to bridge those gaps properly instead of patching over them with something flimsy.

A good example is allied health. On paper, a clinician workflow can sound simple enough: a patient fills out a form, the clinic reviews it, the right person follows up, and the record gets updated. In reality, there are missing fields, odd answers, messy handoffs, and systems that do not quite agree with each other. I have built this kind of workflow myself, including triage forms feeding into Halaxy with scoring, clinician matching, and summaries pushed back into the patient record. That is exactly the kind of business workflow automation Make handles brilliantly, but only if the workflow has been thought through properly first.

That is also where people come unstuck. The biggest mistakes are usually trying to automate a bad process, building before mapping the workflow, cramming everything into one giant scenario, skipping error handling, and assuming the data will behave itself. I also see people underestimate how much testing and monitoring matters. If you are not checking what happens when a field is blank, a service times out, or the input comes through in a weird format, your scenario is not robust. It is just waiting for a bad day.

Another common mistake is assuming Make will somehow replace strategy. It will not. Automation works best when the business process already makes sense and the goal is clear. If the workflow is bloated, inconsistent, or full of pointless admin, automation just helps it fail faster. That is why workflow mapping matters so much before anyone starts building scenarios.

I also do not think Make is the right tool for every single task. Sometimes it is overkill. If you only need one tiny action triggered by one simple event, there may be lighter options that do the job perfectly well. But when a business has multiple systems, messy handoffs, repetitive admin, and disconnected data, Make becomes much more useful. That is where its flexibility starts to earn its keep.

That is why I keep using it. It gives me the control to build workflow automation properly, handle the messy bits, and make systems talk to each other in a way that actually supports the business. Not just the ideal version of the business, but the real one.
